As Office Assistant you will work part-time (60% or 80%) from our office in Ghent.

As an Office Assistant, you bear full responsibility for the reception:

  • You receive all guests and take care of the telephone lines
  • You maintain and follow up the general info mailbox
  • You take care of the post distribution

You are responsible for all office matters:

  • You ensure that our Agile Office is up & running, you are responsible for optimal logistics and stock management (ordering coffee, fruit, biscuits, office supplies)
  • You follow up on our access management (badges and keys)
  • You facilitate travels for employees

You provide administrative support to the Sales, Finance & HR team:

  • Preparing and following up on sales proposals
  • Provide support with invoicing to customers
  • Together with HR, you make sure that new colleagues feel welcome during their onboarding
  • You are the force behind our company Team events, Christmas drink, St Nicholas party...
  • You take care of our ‘Reffers’ with our attentions and gifts policy

  • A Bachelor’s Degree or equivalent through experience
  • You gained an initial experience during an internship or in your first job
  • You are independent, mature and have a great sense of responsibility; this is not a 'deskbound/telephonist' role, you will be in and around the office!
  • You are team-oriented and customer-focused: with your energetic and enthusiastic approach, you strive to find solutions to help internal and external stakeholders move forward
  • You are motivated, proactive and a people person
  • You have strong administrative skills and have an eye for detail
  • You will be dealing with confidential data, so discretion and reliability are must-haves
  • You have excellent knowledge of the familiar Office packages (Word, PowerPoint, Excel)
  • You are fluent in Dutch and English, French is a plus
